Share files with customers and partners

Send a file to somebody outside the company without e-mailing an attachment.

An e-mail attachment leaves your control the moment it is sent, and it is the reason most companies cannot say who has which version.

Where to find itDocuments / files → File sharing.

Step by step

  1. Open Documents / files → File sharing → File manager and upload what you want to share.
  2. Create the share under Manage sharing: who may see it, and for how long.
  3. Send the link. The recipient does not need an IDup account.
  4. Manage download shows what has been downloaded, by whom and when.
  5. Reports aggregates it; Settings holds the limits and the defaults.

Google Drive

If your documents live in Google Drive, Documents / files → Google Drive connects it: settings for the account, then Google Docs and Google Sheets reachable from inside the workspace.

What to share and what not to

  • Give a share an expiry date. A link without one is a link forever.
  • Share the document area's record rather than a copy, so there is one current version.
  • For a customer who should see many things over time, portal access is better than repeated shares.
