All-in-One Modern Accounting & Digital Finance — Made Simple

#1 Product Of The Day

Document Vault

All your business documents, secure and instantly findable. IDup’s document vault keeps contracts, receipts, statements and files encrypted, organised and one search away — on any device, anywhere.

Most companies don’t lose documents. They lose the ability to find them. The signed contract is in someone’s mailbox, the receipt is a photo on a phone, the amended version is on a desktop, and the only person who knows which one is current left the company in March. When a bank, an auditor or a customer asks a simple question, the answer costs half a day of searching — and sometimes it never arrives at all.

IDup ends that by giving every document one place, one version and one context. Upload it, forward it, scan it or let it arrive automatically from an invoice, a receipt or a signed contract — it lands in an encrypted archive, tagged and full-text searchable, attached to the customer, project, invoice or employee it belongs to. Years later, you find it in seconds, with its full history intact and permissions that make sure only the right people ever saw it.

Core Features

Encrypted storage

Bank-grade encryption in transit and at rest, on secure servers worldwide. Your contracts, payroll files and financial records are protected to a standard you can put in writing when a client or auditor asks how their data is handled.

Instant search

Find any document in seconds by name, customer, date, amount or the words inside it. Full-text search reaches into scanned PDFs too, so a receipt from three years ago is as easy to retrieve as yesterday’s invoice.

Linked to records

Attach files to clients, invoices, projects, tickets and employees so every document carries its context. You never see an orphan PDF again — you see the contract that belongs to this customer and the receipt behind this booking.

Access anywhere

Your documents on desktop, tablet and the mobile app, online and on the move. Pull up a signed agreement in a client meeting or send a duplicate invoice from a construction site without going back to the office.

Never lose a document again

Everything is stored, tagged and searchable — no more digging through folders, shared drives or email threads to find the one file that matters right now. Documents enter the vault automatically as you work: an invoice you send, a receipt the AI reads, a contract a client signs, a payslip a run produces.

Because filing happens as a by-product of normal work rather than as a separate chore, the archive stays complete. There is no backlog of loose files waiting to be sorted “when things calm down”, and no moment where an important document exists only in one person’s inbox.

Version history is kept for every file, so you always know which version is current and what changed. Nothing is silently overwritten, nothing quietly disappears, and the answer to “is this the final one?” stops being a question you ask a colleague.

Secure and compliant

Encrypted storage on secure servers worldwide keeps sensitive documents safe and GDPR-compliant — and gives you a straight answer when a customer asks where their data physically lives and who can reach it.

Granular permissions decide exactly who sees what. Your accountant reaches the financial records without touching HR files, a project manager sees the contracts for their own projects, and an external trustee gets their own login instead of a shared password. Access is a setting, not a favour.

Every view, upload, change and deletion is logged, so the archive is audit-proof rather than merely tidy. Retention periods are respected automatically, and when it is time to prove that a document existed in a certain form on a certain date, the evidence is already there.

Context, not just files

Documents are linked to the customer, invoice or project they belong to — always in context. Open a client and you see every contract, quote, invoice, receipt and message that ever passed between you, in order, without opening a second system.

That context is what turns storage into leverage. A dispute about scope is settled by opening the signed estimate. A question about a booking is answered by the receipt attached to it. A handover to a new team member takes minutes because the entire history is where the work is.

And because the vault is part of the same platform as your accounting, CRM, projects and inbox, nothing has to be copied anywhere. One upload is visible everywhere it is relevant, with one set of permissions, one version and one audit trail.

The archive that fills itself

A document vault only works if it is complete, and archives stay complete only when nobody has to maintain them. That is why filing in IDup is a side effect of working rather than a task on someone’s list.

Photograph a receipt and it is read, booked and stored with the entry. Send an invoice and the PDF is archived against the customer. Sign a contract, run payroll, close a ticket or receive post in your digital mailbox — each produces a document that is already tagged, linked and searchable the moment it exists.

The result is an archive with no gaps and no backlog. There is no shoebox, no “to be filed” folder and no quarterly clean-up weekend — and when someone asks for proof of something that happened eighteen months ago, you produce it in seconds instead of promising to look.

Everything else is already included

The document vault is one part of IDup, not the whole product — and you don’t pay extra for the rest. The same login gives you accounting with AI receipt capture, invoicing and online payments, tax filing and annual statements, financial reports, a complete CRM with leads, estimates, contracts and projects, a helpdesk, a client portal, employee and payroll management, permissions and multi-tenant workspaces.

It also gives you the modern layer most storage tools simply don’t have: IDup AI as an assistant across the whole platform, an AI chatbot for your website, automated workflows that run recurring work for you, a social media agent, marketing campaigns, and a shared inbox that brings WhatsApp, SMS, email and social conversations into one place.

The practical effect is that your documents stop being a separate system to maintain. They sit inside the workflow that created them — on desktop and in the mobile app, GDPR-compliant, on secure servers worldwide, in 27 languages, with no prior knowledge required.

Frequently Asked Questions

What can I do with IDup?

IDup unifies accounting, invoicing and payments, AI receipt capture, tax filing, annual statements and financial reports with a full CRM — leads, estimates and contracts, projects, tickets, calendar and a client portal. On top of that sit IDup AI, an AI chatbot, automation and a social media agent, a shared inbox for WhatsApp, SMS, email and social, marketing campaigns, employee and payroll management, permissions, multi-tenant workspaces, a document vault, cloud access and a mobile app for iOS and Android.

All of it runs behind one login, on one database, for one price — so the invoice you send, the entry it books, the customer it belongs to and the document that proves it are the same record instead of four disconnected tools.

What kinds of documents can I store?

Anything your business produces or receives: contracts, offers, receipts, supplier bills, bank statements, tax documents, payroll files, certificates, insurance policies, ID documents, images and scans. Formats such as PDF, Word, Excel, JPG and PNG are handled natively, and scanned pages are read so their text becomes searchable.

Documents can arrive in several ways — drag and drop, upload from the mobile app, photograph with your phone, forward by email to your digital mailbox, or generated automatically by IDup itself when you send an invoice or run payroll. In practice most of your archive fills itself.

How secure is the document vault?

Files are encrypted in transit and at rest and stored on secure servers worldwide. Access is controlled by granular roles and permissions, so each person on your team reaches exactly the documents their role requires and nothing more.

Every action is recorded in an audit trail — who opened, changed, downloaded or deleted a file, and when. That makes the archive defensible in an audit or a dispute, not just organised. Sensitive documents stop travelling through email attachments and personal drives, which is where real-world data protection usually breaks.

Can I find old documents quickly?

Yes. Search by file name, customer, project, date, amount or the words inside the document. Full-text search covers scanned PDFs, so a receipt photographed two years ago is retrievable by the vendor name printed on it.

Because every file is linked to the record it belongs to, you can also work the other way round: open a client, an invoice or a project and see every associated document in one list. Most searches end before they start, simply because the document is already where you are looking.

Do I need any prior knowledge?

No. IDup is built so you can start right away — no accounting or IT background needed. Uploading a document is as simple as taking a photo, and the platform proposes where it belongs and what it is.

The interface speaks plain language instead of jargon, and IDup AI can explain any figure, entry or document in one sentence. If you have ever kept files in folders, you already know enough to run your archive here — only now it is encrypted, searchable and shared with exactly the people you choose.

Is my data secure and GDPR-compliant?

Yes. IDup is GDPR-compliant, hosted on secure, GDPR-compliant servers worldwide, with encryption in transit and at rest. You decide exactly who on your team sees what through granular roles and permissions, and every change is traceable.

Documents and receipts are stored in an audit-proof archive, so the evidence behind a booking is always retrievable years later. Because everything sits in one platform, sensitive data stops being scattered across mailboxes, USB drives and private cloud folders.

Can my accountant or trustee access the documents?

Yes, with their own login and their own permission level. They see the financial documents they need — receipts, invoices, statements — without touching HR files or customer data that is none of their business.

That removes the annual ritual of zipping folders and emailing them in March. Your advisor works on live documents attached to live bookings, asks fewer questions, and bills you for judgement instead of for sorting.

How long does it take to get started?

Minutes, not months. Create your account, upload or forward your first documents and start working — there is nothing to install and no server to configure. Existing folder structures can be dragged in as they are.

You do not have to migrate years of history before you get value. Start with the current period, add older documents whenever it suits you, and every new file from today onwards files itself as part of normal work.
