Automation earns its keep on the steps nobody enjoys and everybody occasionally forgets: the follow-up, the status change, the notification.

Step by step

  1. Open Automation / workflows → Workflow automation or Automation.
  2. Define the trigger — what has to happen for the rule to fire.
  3. Define the condition, so the rule applies only where it should.
  4. Define the action — create a task, send an e-mail, change a status, notify somebody.
  5. Test it on one record before switching it on for everything.
  6. Watch it for a week. A rule that fires too often is worse than no rule.

  • Marketing → Marketing automation — the campaign side.
  • Projects & tasks → Reminder — a prompt on a date.
  • Chase an unpaid invoice — the reminder schedule for billing.
