Approvals: one place to decide
Leave, expenses, orders, invoices and other requests wait in one list, with rules, stand-ins and a full history.
Every request that needs a yes from somebody appears in one list, no matter where it started. You decide there. The decision is carried out in the area the request came from.
What can be approved
Leave and absence, sick notes (acknowledge only), working-time corrections and report hours, expenses and receipts, purchase requests and purchase orders, signatures, and invoices and quotes above a limit you set. You can also open a free request of type Purchase, Expenses, Budget, Contract or Other, with an attachment of up to 10 MB.
Decide a request
- Open Approvals → Waiting for me.
- Open a request to see the details. For leave you see the team calendar, for expenses the earlier spending of the person.
- Press Approve, or Reject and give a reason. The reason is required.
- Or press Ask a question. The person answers in the same request.
You can never decide your own request.
The tabs
- Waiting for me — what needs your decision, with the due time. You can filter, search and decide several simple requests together.
- My requests — what you asked for, with the state. Use Withdraw to take a request back.
- All — every request in the company, for people with the right to see all.
- Settings — the rules, for administrators and people with that right.
Rules for your company
In Settings you set, per type of request and amount, how many steps are needed. A step can be the line manager from the staff file, the management, the approvers of an area or a fixed person. A suggested set of rules is already filled in. You can also name a stand-in for a period, or let the stand-in act automatically while the approver is on approved leave or sick. A reminder is sent after a number of days.
Messages and history
People are notified by the bell and by push in the category “approvals”, which each person can switch off. The e-mail contains a link to decide. The link works once, only for that person, and for 72 hours. A page asks you to confirm before anything happens.
Each request keeps a history of who did what and when. It cannot be changed afterwards. Export it with History as CSV or History as Excel.
Nothing is tracked — the buttons only open a message so you can tell us what was missing.
