Workflow automation
Rules that do the routine part, so a person only handles the exception.
Automation earns its keep on the steps nobody enjoys and everybody occasionally forgets: the follow-up, the status change, the notification.
Where to find itAutomation / workflows in the sidebar.
Step by step
- Open Automation / workflows → Workflow automation or Automation.
- Define the trigger — what has to happen for the rule to fire.
- Define the condition, so the rule applies only where it should.
- Define the action — create a task, send an e-mail, change a status, notify somebody.
- Test it on one record before switching it on for everything.
- Watch it for a week. A rule that fires too often is worse than no rule.
Where else automation lives
- E-mail template → Mail timer and Triggers — time-based and event-based mail.
- Marketing → Marketing automation — the campaign side.
- Projects & tasks → Reminder — a prompt on a date.
- Chase an unpaid invoice — the reminder schedule for billing.
