Invoicing & payments

Record a payment

Mark an invoice as paid so the customer's balance, the reminders and the ledger all agree.

A payment recorded late is worse than no payment recorded: the customer gets a reminder for money they have already sent.

Where to find itCRM → Sales → Payments, or directly on the invoice.

Step by step

  1. Open the invoice and add a payment to it. That is the reliable route, because the payment is then tied to the right document.
  2. Enter the date, the amount and the payment method.
  3. For a part payment, enter what actually arrived — the invoice becomes partially paid and shows the remainder.
  4. Save. The status changes, the reminder stops, and the money appears in the account you booked it to.
  5. CRM → Sales → Payments lists every payment across all invoices when you want the overview rather than one document.

Payments that record themselves

If online payment is switched on, a customer paying through the link marks the invoice paid without anybody touching it. See Take payment online.

Payment methods

The methods you can choose from are defined under the payment mode settings. Keep them matched to your real accounts — that is what makes the bank reconciliation possible.
