Let customers accept a quote online

Your customer accepts a quote with a signature on any device. You get a signed PDF with an audit trail.

A quote does not have to be printed, signed and scanned. The customer opens it from the e-mail, signs on the screen and you receive the signed PDF.

Where to find itQuotes & Invoices → Quotes → Quotes. The settings are under More → Online signature settings.

What your customer does

  1. Opens the e-mail and chooses View & accept quote.
  2. Chooses Accept. Name, place, date and e-mail are filled in. Only the name and the place can be changed.
  3. Ticks the box to confirm that the quote was read.
  4. Enters a 6-digit code from an e-mail, if you switched this on.
  5. Signs with a finger or the mouse, types the name, or uploads an image.

A customer who declines picks a reason and can add a comment. The reasons are: price too high, chose another provider, no longer needed, timing does not suit, service does not fit, or other.

What you get

  • The status changes to Accepted. You get one notification.
  • A PDF with the signature and an audit trail: time, IP address, device, e-mail and a fingerprint of the document.
  • A copy goes to the customer and to you.
  • One click on Convert to invoice or Convert to order.
  • A public page where anyone with the verification code can check in the browser that the PDF is unchanged.

Settings

You can require an e-mail code before signing, add a link to your terms and conditions, and let IDup remind customers who have not answered after a number of days.

Legal noteThese are simple electronic signatures. They are sufficient for quotes and most contracts in Switzerland. Where the law requires written form, ask your adviser.
