Invoicing & payments

Record a payment

Record a customer payment on an invoice, or let IDup match it automatically.

A payment recorded late is worse than no payment recorded. The customer gets a reminder for money they have already sent.

Where to find itQuotes & Invoices → Invoices → Payments. Or open the invoice itself.

Step by step

  1. Open the invoice and choose Record Payment. This is the reliable route, because the payment is tied to the right document.
  2. Enter the date, the amount and the payment method.
  3. For a part payment, enter what actually arrived. The invoice becomes Partially Paid and shows the remainder.
  4. Save. The status changes, the reminders stop and the customer can receive a receipt.

Quotes & Invoices → Invoices → Payments lists every payment across all invoices when you want the overview.

Payments that record themselves

You often do not need to record anything. When a payment arrives through a connected bank account or payment provider, IDup matches it to the invoice by the QR-bill reference, the invoice number in the text or the details from the provider. The invoice is marked as paid and a receipt goes to the customer.

  • If the amount is lower, the invoice becomes Partially Paid.
  • If the amount is higher, the difference is kept as customer credit.
  • If IDup is not sure, the payment waits under Payments → To review for your decision.

See Payments: overview, matching and payouts.

Payment methods

Keep the payment methods matched to your real accounts. That is what makes the reconciliation with the bank possible.
