Let guests pay a deposit or the full price when they book an appointment, and turn an appointment into an invoice.

A deposit reduces no-shows. The guest pays while booking, and the appointment is only confirmed after payment.

Where to find itAppointments → Services. for the price, and Appointments → Calendars for the deposit.

Step by step

  1. Open Appointments → Services. Enter the Price (net), the currency and the VAT for the service.
  2. Open Appointments → Calendars and edit the calendar. In the block Price & deposit choose Payment when booking: no payment, a fixed deposit, a percentage of the price, or the full price.
  3. Choose whether a guest who cancels in time is refunded: fully, partly with a percentage, or not at all.

Deposits need a payment method. Without one the block is greyed out and a link leads you to set it up. See Connect your bank and payment accounts.

What the guest sees

The guest sees the amount and continues to a second step, Payment. The time slot is held for 10 minutes. If the guest leaves, nothing is charged and the time is free again. After the payment the appointment is booked and the receipt arrives by e-mail.

Cancellations and refunds

If the guest cancels within the deadline, the refund follows your rule and an invoice correction goes to the guest. In the appointment you can refund a deposit yourself, up to the amount that is left.

Invoice from an appointment

The appointment detail has a block Payment & invoice. Choose Create invoice. The deposit is deducted. In the appointment list you can select several appointments of the same person and choose Create one invoice.
