Set up how your invoices look and read
Choose payment terms, bank details, the layout of the PDF and the wording of your invoices, quotes and reminders.
One settings page controls how your customers see your invoices, quotes, invoice corrections and reminders. It covers the PDF, the e-mail and the online view.
What you can set
- Payment terms (days): new invoices fall due this many days after the invoice date. This includes recurring invoices.
- Allow partial payments: customers can also pay a part online.
- Payment methods on invoices: the ones connected under Payments. A method that is turned off does not appear on the invoice.
- IBAN or QR-IBAN and Bank name: with an IBAN, every invoice in CHF or EUR gets the Swiss QR payment part on a separate page. The page shows whether the QR payment part is active.
- PDF document layout: a small sender line above the address for window envelopes, and whether prices are shown plus VAT or including VAT.
E-mail and PDF texts
Choose the document and the language. Then edit the subject, the greeting, the text before and after the fixed block, the closing and the two PDF sentences. The fixed block with date, amount, due date and button is in every e-mail and cannot be removed. Click a placeholder to insert it, for example the customer name or the amount. Preview shows the result with your latest document. Nothing is sent. Reset to default removes your own text.
Text blocks
The section Text blocks holds ready-made introductions and closing texts. Ten starter templates are included, for example for deposit invoices, final invoices and subscriptions. You can search, filter, create, edit and duplicate blocks. Deleting a starter template only hides it. You can restore it at any time. In an invoice, quote or invoice correction choose Insert text block.
Company data
Company name, address, VAT number and logo come from your company details. They appear in the header and the footer of every document.
Nothing is tracked — the buttons only open a message so you can tell us what was missing.
