Change of tenant and former tenants
Guide a move-out and a move-in in one assistant, and find ended leases with their full file.
The tenant change assistant ends the old lease, records the new one and schedules the handover. Nothing is saved until the last step.
The assistant
- Move-out: notice date, move-out and end date (required), reason, and the deposit refund.
- Next tenant: choose an existing customer, add a new tenant, or leave it empty. The start is the day after the end date, with no overlap. Rent and service charges are prefilled from the previous lease.
- Handover: the inspection appointment, which also appears in the deadlines and the calendar, the time, a key note and remarks.
- Check the summary and click Finish. Everything is saved together or not at all.
The old lease ends on the end date. The new lease is recorded at once but starts on its start date, and the next tenant is invoiced only from then. If the lease covers two units, both change together. Move tenant to another unit offers only free units and ends the old lease on the day before. Monthly invoices are for whole months, without daily pro-rating.
Former tenants
Ended and archived leases are listed under Properties → Former tenants and on the tab Former tenants of each property. Search, filter by unit, year or status, and export CSV or PDF. A click opens the complete file, read only: lease details, documents, invoices, payments, utility statements, letters and e-mails, notes and log.
- Everything is kept for 20 years after the lease ends. Within that time the lease, unit, invoices, payments and customer cannot be deleted.
- 30 days before the end, administrators get a bell notice.
- After that, names, contact data, notes and contract text are anonymised. Amounts and dates stay.
Nothing is tracked — the buttons only open a message so you can tell us what was missing.
