Leases and tenants
Create a lease, adjust the rent, end it, put several units in one lease and stay in touch with your tenants.
A lease ties a tenant to a unit with a rent, service charges and a term. The tenant is a normal customer, so invoices and documents stay with the customer record.
Create a lease
- On the unit, click New lease. Choose an existing customer or Create new tenant. IDup warns you about duplicates.
- Enter the start, the net rent per month, the service charges per month and the deposit. The type of service charges is On account (settled later), Flat rate, Tenant direct or None.
- Add the contract: From template (apartment or garage), Upload file, including one that is already signed, or Link existing contract. A matching contract of the tenant is only suggested; you confirm it.
To send the agreement for online signature, see Online rental agreement.
Rent, term and several units
- Adjust rent sets a new net rent and new service charges from a date. A future date is scheduled and applied automatically. Invoices already issued stay unchanged.
- Terminate asks for the date the tenancy ends (Tenancy ends on).
- One lease can cover several units, for example an office and a store room. The card Units in this lease has Add unit, Make main unit and Remove. Rent and service charges apply to the main unit, so areas and totals are not counted twice.
- If you change the service charges on a unit that has a running lease, IDup asks whether to change that lease as well. No keeps the change as the default for new leases only.
Your tenants
The tab Tenants shows one row per tenant with units, start, total per month, open amount and contact. Message sends an e-mail and saves it as a note in the customer file; it needs an e-mail address. To give a tenant access to the customer area, see The tenant portal and damage reports.
Nothing is tracked — the buttons only open a message so you can tell us what was missing.
