Chase an unpaid invoice
See which invoices are overdue, send reminders by hand or let IDup send three levels automatically.
Most unpaid invoices are not disputes. They are invoices nobody chased, because chasing is unpleasant and easy to postpone.
The Dunning page
The page shows the overdue invoices by level: Payment reminder, 1st dunning notice and 2nd dunning notice. A separate group lists invoices that are overdue but not reminded yet. For each invoice you see the customer, the due date, the days overdue, the open amount and the next step.
- Open the Dunning page and look at the overdue invoices.
- Choose Send reminder on an invoice. The customer receives the reminder with the invoice attached again.
- Record any partial payment straight away, so the next reminder shows the correct remaining amount.
- Use Stop reminders on an invoice you are handling personally. Stop for customer does the same for all invoices of one customer. Resume reminders turns them on again.
Automatic reminders
Open Dunning settings. Switch on Send reminders automatically. For each of the three levels, enter the number of days after the due date. The days must increase from level to level. You can also set a fee for the 2nd dunning notice. It is added once as an item on the invoice, without VAT. Enter 0 for no fee.
The texts of the three levels are under Templates in Reminders, in the language of the customer. Every reminder contains the fixed block with the amount, the due date and a Pay now button.
What the customer sees
The invoice and its status in the portal. A connected customer also gets a push notification, for example Payment reminder. You can switch this off in the dunning settings.
Keeping the tone right
A reminder that arrives soon after the due date is a service. One that arrives three months late is an accusation. Set the schedule once and let it run.
Nothing is tracked — the buttons only open a message so you can tell us what was missing.
