Assign receipts to tenants and properties

After you scan a receipt, link it to a tenant, property, unit, maintenance case or project in one click.

A repair bill is only useful if it ends up at the right property and, where it applies, with the right tenant. After scanning, IDup asks what the receipt belongs to and suggests answers from its text.

Where to find itFinance → Expenses, after Scan receipt. The scan in the app asks the same question.

Step by step

  1. Scan the receipt. The window What does this receipt belong to? opens.
  2. Check the suggestions for Customer / tenant, Property, Unit, Maintenance case, Project and Category. Each is marked sure or maybe and says why, for example the name or the address on the receipt. A name in any order is found.
  3. Choose Re-bill: No, Charge to tenant, Include in service charges or Re-bill to customer.
  4. Click Accept & book, or Assign later.

Good to know

  • Re-billing creates a draft invoice only. Nothing is sent. You need the right to create invoices for it.
  • Include in service charges assigns the receipt to the property. Whether it appears in the utility cost statement depends on the category being marked Relevant for service charges.
  • When you scan several receipts, tick Keep this assignment for the next receipts or click Skip.
  • IDup learns from your choices. The same supplier is suggested with the same assignment next time.

Receipts without a link

The button Unassigned next to Scan receipt lists receipts without customer, project or property. Assign them later, or click No link needed. Receipts recorded earlier are not changed; they simply appear in this list.
