A receipt can be read automatically or typed by hand. Either way, the image and the entry stay together.

Where to find itFinance → Expenses and Finance → Accounting → Receipts.

Scan a receipt

  1. Open Finance → Expenses and click Scan receipt.
  2. Take a photo or choose a file. IDup reads the text and fills in the fields.
  3. Check the fields. Anything it could not read is listed after Not recognised, please enter:.
  4. Set the Paid switch. Unticked, the receipt becomes an open supplier bill with a due date.
  5. Click Confirm & book, or Correct in form to change something first.

Next IDup asks what the receipt belongs to. See Assign a receipt to a customer or project. In the app, see Scan a receipt with the camera.

Upload receipts under Accounting

  1. Open Finance → Accounting → Receipts.
  2. Drag a PDF or photo onto the page, or choose it. The limit is 20 MB per file.
  3. IDup suggests supplier, amount, date, due date, VAT rate and account. The account is taken from the supplier's last receipt or from your category rule.
  4. Choose how it was paid: open bill, by bank or in cash. Then click Post, or Discard.

A discarded receipt stays stored but is not posted. A receipt that is already stored is recognised, and you are told so.

Typed by hand

Add an expense under Finance → Expenses with supplier, date, amount, tax rate and category. Attach the receipt. See Record an expense.

Keeping and limits

Receipts are stored unchanged and kept for 10 years. Your plan includes a monthly number of receipt scans. A separate number covers AI recognition. When a number is used up, IDup says so and asks you to upgrade or wait for the next period.

A good scan

  • The whole receipt inside the frame, on a plain surface.
  • No shadow over the total or the date.
  • One receipt per image.
