Approval keeps the books clean. An expense entered by an employee is checked by a person with the right Approve expenses first. Administrators always have this right.

Where to find itFinance → Expenses and the role setting Approve expenses under Expenses.

What happens to a new expense

  • An employee enters it in the form, by receipt scan or in the app. Its status is Waiting for approval.
  • It is not in accounting, not in the expense reports and not billable to a customer.
  • An administrator's own expenses are booked at once. No approval is needed.

Step by step for the approver

  1. Open Finance → Expenses. The menu shows how many are waiting.
  2. Use the Approval filter to see them.
  3. Open the expense and check it.
  4. Click Approve. The expense is booked and can be invoiced.
  5. Or click Reject and enter a Reason. The reason is required. The employee sees it.

IDup informs the employee by bell, push and e-mail, in their language.

After a rejection

The employee changes the expense and saves it again. It then waits for approval a second time.

Expenses that existed before approval was introduced are not affected.
