Purchasing recorded properly is what makes a cost report meaningful, and what stops the same thing being ordered twice.

Where to find itPurchasing

Step by step

  1. Open Purchasing → Suppliers and add your suppliers.
  2. Start with a purchase request under Requests & quotes when somebody needs something. The need is recorded before the spend. Depending on your rule, every request or requests above an amount go to Approvals.
  3. Collect quotes and turn the chosen one into a purchase order under Purchase orders.
  4. When the goods arrive, open Goods Receipt. It lists the approved purchase orders that are still open.
  5. Enter the quantity received per line. You can receive in parts, but never more than was ordered. Add the supplier delivery note number if you like, then press Record receipt.

What a receipt does

Items from your catalogue go into stock. Services and items that are not in the catalogue do not. The receipt also creates an open supplier payable with net amount, VAT, gross amount and due date. Accounting books it later. Nothing is paid automatically.

More

Under More you find Purchase Contracts, Supplier Invoices, Debit Notes, Returns to Suppliers, Reports and Settings. Overview opens the purchasing overview.

Without a purchase orderAn expense can name a supplier without any purchase order. See Record an expense.
