Journal entries and reversals

Add an entry by hand, reverse a posted one, and delete drafts. Posted entries are never changed.

The journal lists every entry. Invoices, payments and expenses arrive by themselves. You can also add an entry yourself.

Where to find itFinance → Accounting → Journal

Add an entry

  1. Click New entry.
  2. Enter the date, a text and the lines. Debit and credit must be equal.
  3. Click Post, or Save as draft.

Correct a mistake

A posted entry cannot be changed or deleted. Click Reverse. IDup posts a reversal that refers to the original. From either one, you can open the other with View reversal or View original.

A draft can be discarded with Discard draft.

Many at once

  1. Tick the boxes in the journal, or select all results of a filter.
  2. The bar shows Delete drafts and Reverse posted entries with the counts.
  3. Enter a Reason. It is required and is logged.
  4. Click Run. IDup shows the progress and then the result, for example how many were deleted, reversed or failed.

At most 100 entries are handled at once. Entries that are already reversed, and reversal entries themselves, are skipped.

Rights and locks

Deleting needs the delete right. Reversing needs the create right. Nothing can be posted or reversed in a locked period.

The audit log

Settings → Audit log records every step. Each line is chained to the previous one. Verify log checks the chain and says Log intact when nothing was altered.
