Let connected people book an appointment themselves
You define what can be booked and when; they pick a free slot without writing to you.
Self-booking removes the three-message exchange that most appointments start with. You publish what is bookable; the other side sees only genuinely free times.
Step by step
- Open Booking settings and define your Bookable appointment types: a name, a duration in minutes, a location, whether it is an online meeting, and a buffer after it.
- Set Who is booked for each type — a specific person, or Anyone from the team — and mark the type Bookable.
- Fill in Weekly availability: the times on each weekday when bookings are allowed.
- Add Exceptions and holidays, including whole days marked Closed all day.
- Set the guard rails: Earliest booking (hours ahead), Latest booking (days ahead), Confirmation required, and Cancel up to (hours before).
- Save. Connected people now see Book an appointment with Choose what you need and a list of Free times.
In the app
- The connected person opens the booking screen in the app.
- They choose the appointment type, then a free time, then Book.
- If confirmation is required they see “The request has been sent. The company will confirm it.” Otherwise “The appointment is booked.”
- You are notified with New booking, and a cancellation with Booking cancelled.
What the system prevents
- Double bookings — if a slot is taken while somebody is choosing it, they get “That time has just been taken. Please choose another one.”
- Late changes — “It is too late to change this appointment.” once your cancellation window has passed.
- Bookings outside your availability — “Nothing can be booked at that time.”
- Automated hammering — repeated attempts are rate-limited.
Booked appointments
The list Booked appointments shows when, who, which type, with whom, and a status of Awaiting confirmation, Confirmed or Cancelled. An empty list says so rather than showing a blank table.
Nothing is tracked — the buttons only open a message so you can tell us what was missing.
