Record and approve working hours

A connected employee starts a timer or adds an entry; you approve or reject it. The time stays with the company it was worked for.

Hours are recorded by the person and decided by the company. Both halves are in IDup, so there is no spreadsheet in the middle.

One design point matters legally: recorded time belongs to the company the work was done for, not to the person's private account. The private account shows it; it does not own it.

Where to find itOn the company side, the Hours page lists the working hours of connected people that are waiting for approval. On the person's own side, the My hours page lists their recorded working hours across all connected companies.

Step by step

  1. The person opens My hours and either starts the Timer or chooses Manual entry.
  2. A manual entry requires a reason — “A reason is required for every manual entry.” — because it was not measured.
  3. Stopping the timer confirms: the entry is now awaiting approval.
  4. On the company side, Hours lists everything Awaiting approval. Select Approve or Reject.
  5. A rejection asks for a Reason for rejection, which the person sees.
  6. The person is notified either way — “… has approved your hours” or “… has rejected your hours”.

Rules the system enforces

  • One running timer per person. Starting a second is refused with “A timer is already running.”
  • You cannot approve your own hours.
  • An entry that has already been decided cannot be decided again.
  • A timer left running is stopped automatically at a maximum duration, with that reason recorded on the entry.
  • If the connection to the company ends, a running timer is stopped automatically and says so.

Exporting the hours

The company view filters by person, calendar week and status, and offers Export CSV. The export carries person, e-mail, date, week, from, to, duration, decimal hours, project, task, note, how it was recorded, the reason, the status, who decided and when, and the decision reason.

Two rights, not one

Seeing hours and deciding on them are separate permissions, so a team lead can look without being able to approve, and an office manager can approve without browsing everybody's week.
