Jobs and work reports
Plan visits on a dispatch board, let staff record what they did, get a signature and invoice the report in one click.
A job is work you do at a customer, for example a repair or an installation. A work report records what was done: the times, the material and the services. The customer signs it.
Step by step
- Create a New job. You can start from a quote, a ticket, an appointment, a project or a chat, or enter it by hand.
- Open the Dispatch board and schedule a visit. A staff member is chosen and an appointment is created for them. IDup warns about conflicts such as an absence or another visit.
- The staff member starts and stops the visit. In the app this works offline, and the data is synchronised later.
- Record the work report: working times, material, services, expenses and photos before and after.
- The customer and the staff member sign. The report is then locked and the PDF goes to the customer.
- Select the signed reports of one customer and choose Create invoice. The invoice is saved as a draft with the hours, the material and the services. Check it and send it under Invoices. The reports then show as Invoiced.
Changes after signing
A signed report cannot be edited. A change creates a new version and needs a reason. The earlier version stays in the history with its signature and PDF. The new version must be signed again.
What the customer sees
In their account the customer sees their signed work reports and can download the PDF. Your internal notes and hourly rates are not shown.
Settings and analysis
In the settings you set the default hourly rate, a rate for travel time, whether the staff member must sign, whether the PDF is sent automatically after signing, and whether material is deducted from stock. Analysis shows hours per customer and per staff member. If you switch on Sites, it also shows hours per site.
The hours of a report also count in Time tracking, once.
Nothing is tracked — the buttons only open a message so you can tell us what was missing.
