The employee file

One file per employee: profile, work and pay, time, absences, documents, goals and app access.

The employee file collects everything about one person in one place. It reads the data that the other areas hold, so nothing is entered twice.

Where to find itEmployees → All employees

Step by step

  1. Open Employees → All employees and open a person. The arrows jump to the previous or next file.
  2. To add someone, create a new employee. Fill in Profile and Permissions. The other sections appear after you save.
  3. For many people at once, open Employees → Import. Download the CSV or Excel template, upload the file and check the preview. Nothing is created until you confirm.
  4. Tick the invitation if the new people should get access to the IDup app.

Sections

You see the sections that your role and your plan allow.

  • Profile, Working hours, Holidays & absences, Attendance, Hours and Expenses.
  • Contracts, Payroll, Documents & files, Inventory, Education & training and Dependants.
  • Organisation, Onboarding & offboarding, Reviews & goals and certificates with expiry reminders.
  • Permissions, App access and Login history.

Work and pay

Under Profile → Work & pay you record employment, workload, target hours, entry date, notice period, position and manager. The billing rate per hour is what customers are charged. It is not the pay. Pay is a monthly salary or an hourly wage with allowances and deductions. Every change is kept in the pay history with a valid-from date and a reason.

Privacy and limitsPay needs its own right. Administrators can see who opened pay, bank, health or review data. Deactivated employees do not count towards your plan’s employee limit. More in Manage your team.
